Learn how to sync your Google Calendar with Outlook quickly and easily with step-by-step instructions and helpful images.
If you have more than one calendar - say, an Outlook calendar for work and Google for everything else - you've probably noticed that events can easily overlap.
Does this sound familiar? You block a time for your child's dentist appointment on your Google calendar, but for your colleagues Outlook still looks free... and before you know it, a work meeting gets booked right on top of it.
This has happened to me plenty of times. It surprised me that there's not a way to sync Google Calendar and Outlook without using a third-party solution.
Having multiple calendars across different platforms, I found the fastest and most reliable way to keep them aligned is by automating calendar syncing.
Currently, Outlook does not support real-time automatic synchronization with Google Calendar.
However, there are several external tools that make this possible.
Use a calendar syncing software
Using a dedicated calendar sync tool is the simplest way to keep Google Calendar and Outlook in sync. Caltsu was built specifically for this purpose without unnecessary features, so the setup is quick and straightforward.
N8N automation
You can create an automation flow between calendars using a tool like N8N. Here is a link for a template made in N8N just for this.
Zapier Integrations
Zapier is also a tool that allows you to sync different work applications, not just calendars. Here's a tutorial from Zapier on how to sync your Google calendar with Outlook using their platform.
The last two platforms require some learning, as they offer a wide range of automations beyond just calendar syncing.
I'll show you how you can sync your calendars for free using Caltsu, a software crafted only for syncing calendars, without having to learn automation.
Using a third-party calendar sync tool was a game-changer for my time management.
It's such a relief not having to manually update every event across multiple calendars to ensure you don't appear available when you're actually busy.
If you only need your calendars to be synced from Google to Outlook and not both ways, you can do it manually without using external software.
Here are the steps to do that:
Open Google Calendar and go to settings.
Select the calendar you want to sync (typically the calendar is called your account name).
Click the "Integrate calendar" section, and copy the secret address in iCal format.
Important: Do not share this link with anyone you don't want to have access to your calendar.
Head to Outlook, and click "Add calendar".
Select "Subscribe from web".
Paste the link you copied to the text field.
Give your calendar a name (I just named it "Google"), select the color and icon you want, and hit "Import".
Your Google calendar should now be visible on Outlook.
Note: This does not mean that events created on Outlook will show up in Google Calendar as well - this method works only one way.
Automatic calendar syncing tools like Caltsu eliminate the need to manually update events across multiple calendars and help prevent double bookings.
But it's not always necessary - or the best choice for everyone.
Here's how to know when you should consider using an external tool, and when not:
For busy professionals managing multiple accounts, automatic syncing can be a game-changer - but if your schedule is simpler, a one-way manual setup may be all you need.
